Notice to Job Applicants regarding processing of Personal Data by the Institute for EU-Gulf Partnership (IEGP).

As part of the recruitment process, IEGP AISBL collects and process personal data relating to job applicants. This may include name, address, contact details, qualifications, skills, experience and employment history, and other information that may be relevant for the recruitment process. IEGP may collect this information in a variety of ways. For example, data may be contained in application forms, CVs or resumes, obtained from identity documents or available online sources, or through interviews or other forms of assessment.
IEGP may also collect personal data about you from third parties, such as references supplied by former employers. We will not seek information from third parties without your consent. Data will be stored in a range of different places, including on your application record, in HR and recruiting management systems and on other IT systems (including email).
Your information may be shared internally for the purpose of the recruitment process. This includes members of the HR and recruitment team, interviewers involved in the recruitment process and managers in the business area with a vacancy.
IEGP has a legitimate interest in processing personal data during the recruitment process allowing it to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom a job may be offered.
IEGP takes the security of your data seriously. We have internal procedures in place to ensure that your data is not lost, accidental destroyed, misused, or disclosed, and is not accessed except by our employees in the proper performance of their duties.
If your application for employment with IEGP is successful, personal data gathered during the recruitment process will be transferred to your HR file and retained during your employment. As from the moment of your employment, we will process your personal data in accordance with our employee privacy policy.
As a data subject, you have a number of rights, you can submit an access request and obtain a copy of your data, request IEGP to change incorrect or incomplete data, require IEGP to delete or stop processing your data, or simply object to IEGP’s processing of your personal data.
You have the right to lodge a complaint about the way that IEGP handles your data with the Belgian data protection authority, L'Autorité de protection des données (APD), or you can contact IEGP for more information or with any concerns.

You are under no statutory or contractual obligation to provide data to IEGP during the recruitment process. However, if you fail to deliver the requested data, IEGP may not be able to process your application.
